The value of keeping live scribes in the loop

Author: Jason Kolinoski, EVP and GM, Clinical Documentation Business Unit, IKS Health

Ambient AI can reduce documentation time and ease the burden of notetaking. Clinicians also report being able to give patients more of their attention. A complete documentation strategy builds on those gains by giving clinicians access to the combination of technology and human support that works best for the patient in front of them.

For some encounters, ambient AI may provide all the documentation assistance a clinician needs. Other encounters benefit from additional administrative help or clinical support. A complete suite of documentation tools makes that choice possible. Live scribes are an important part of that suite.

Customer feedback, including independent research from KLAS Research, helps us improve our products and services and better understand what customers value most. IKS Health received a 2026 Best in KLAS award for Virtual Scribing Services. This feedback comes directly from clinicians and healthcare leaders. It tells us that they place high value on a teammate who helps prepare for visits, documents encounters, and consistently follows through on the resulting work. That feedback also highlights the importance of a working relationship that adapts to their preferences and daily demands.

Starting with a more complete picture of the patient

A visit can become more productive when the clinician starts with a useful summary of the patient’s history and relevant results already in the EHR. Customers describe live scribes reviewing prior visit notes, preparing charts, and organizing information so the clinician can quickly see what needs attention.

The outcome we've seen from using IKS Health's scribes has been a decrease in burnout, for sure. Chart preparation has been helpful. It's nice for clinicians to walk into the clinic and have their charts prepped and ready to go. So, due to the decrease in physician burnout, we have more satisfied clinicians.

That preparation can reach into records that take time to navigate. For example, this can include reviewing scanned documents and records from different EHRs, bringing outside ultrasound findings to the clinician’s attention, and summarizing information from a lengthy hospitalization. Clinicians also value being able to ask a scribe to retrieve a laboratory value, a prior screening date, or the most recent medication fill, all during an encounter.

Customers also value context that shapes the conversation. A brief synopsis of psychosocial concerns or difficult experiences with the medical system can help a clinician frame the visit and approach an examination with greater awareness of the patient’s history.

With relevant information already organized, the clinician can spend more of the encounter listening, asking questions, and considering what the patient needs next.

Keeping the work moving during and after the visit

A patient encounter creates work throughout the EHR. Our customers value live scribes queuing orders and initiating referrals for clinical signature, and messaging other members of the care team in real time. They connect that assistance with shorter task lists and less time spent working in the EHR.

That support follows the clinician’s direction and the practice’s established workflow. Knowing how a particular laboratory or hospital needs an order submitted can reduce miscommunication and delays.

Working with a scribe also adds a second set of eyes to the encounter. Customer examples include noticing missing chart information and reminding a clinician that a medication hasn’t been sent yet. Clinicians can ask their scribe to send a message or set a reminder, and work through outstanding details together.

For the providers who are using IKS Health's scribes, it has been an amazing lifestyle and clinical change for them. We are seeing overall better documentation and improved team workflow.

Timely documentation helps the wider team, too. Practices often link same-day chart completion with better care coordination across services and locations. Completed notes make it easier for colleagues sharing an EHR to understand what is happening with a patient. Faster chart completion, with fewer missing details to resolve before billing, can also shorten the time from the patient encounter to submitting a claim for payment.

Building a flexible working relationship

Flexibility is a recurring theme in what our customers tell us. They value scribes who adapt to changing documentation requirements and learn their preferred note styles and templates, and respond when they want the work done differently. That includes incorporating recurring edits into future notes and confirming preferences during check-ins.

IKS Health's services are not stagnant. They are constantly improving to help with what I need. They are constantly learning new things. If our leadership says that we need to include something in our documentation, the scribes get trained on their own to make sure that they are applying the changes. I don’t have to lead any of that. Everybody that I have talked to about IKS Health's services has been very happy, and the providers who haven't gotten scribes yet are asking for them.

As that working relationship develops, the scribe learns the clinician’s preferences and becomes someone the clinician can check details with, in real time. Customers say their scribes flag uncertainty in a note, catch a verbal mix-up such as right versus left, and identify information to revisit at the next appointment. Reviewing those details together helps the clinician complete the note and follow through on the plan.

I did not realize what a positive impact the firm's service would have on burnout. We can just tell the physicians that they can go back to doing the things they like about being a physician, such as seeing patients and spending time with them, and they don't have to worry as much about the heavy documentation on the back end.

Customers connect this support to their experience of practicing medicine. Clinicians describe more eye contact, more time to listen, and less pressure to type while a patient is speaking. Our customers also report less after-hours EHR work, more time with their families, greater productivity, and improved patient access. Practices have also freed in-house staff to spend more time on patient education and direct patient support.

Giving clinicians a choice

For health system leaders, these experiences make a strong case for giving clinicians choices. Within the IKS Health Scribble Suite, Scribble Select offers tiered options including AI-only documentation, AI plus human validation, and clinician-reviewed notes. Customer feedback from Western Washington Medical Group links choosing support by visit type to more complete, accurate notes and fuller patient engagement.

Clinicians differ in what they are ready to bring into their daily workflows and which tasks they are comfortable delegating. As trust develops, clinicians report growing more comfortable asking their scribe to retrieve or add information in the chart, call attention to important details, and question information that may be incomplete or unclear. Meeting clinicians where they are means giving them choices that reflect both their current needs and personal preferences, with the flexibility to adjust that support as their needs and preferences evolve.
